What WhatsApp Automation Is, and What WhatsApp Allows
WhatsApp automation is any message your business sends or answers without a person typing it: a greeting when someone writes for the first time, an away message at night, an order confirmation, or an AI that answers questions. Some automation is built into the free WhatsApp Business app. Anything more, like replying to every message or connecting a CRM, goes through Meta's WhatsApp Business Platform. What WhatsApp allows depends on which of the two you use and on whether the customer asked to hear from you.

In numbers

|---|---|
| 24 hours | Once the 24 hours pass without a new message from the customer, you can only write to them with a template message: a fixed text Meta approves in advance, for things like an appointment reminder… |
What are the kinds of WhatsApp automation?
| Kind | What it does | Where it runs |
|---|---|---|
| Built-in app tools | Greeting message, away message, quick replies, labels, catalogue | Free WhatsApp Business app |
| Broadcasts | One message to many contacts at once | Broadcast lists in the app, or template messages on the Business Platform |
| Automated replies and flows | Menus, order updates, reminders, confirmations | WhatsApp Business Platform, through software |
| AI agents | Read what the customer wrote and answer it, book, take orders, hand over | Business Platform, or a number linked by QR code |
The first kind is free and safe, and most small businesses underuse it. The last kind is the one people mean today when they say "automate my WhatsApp": software that reads every incoming message and replies on its own.
What can you automate in the free WhatsApp Business app?
The free app gives you a few tools that need no software at all. They are limited, but they cost nothing and cannot get you banned.
- Greeting message: sent automatically when a new customer writes for the first time, or after a long silence.
- Away message: sent when someone writes outside the hours you set.
- Quick replies: saved answers you insert with a shortcut, like /prices or /address. You still press send.
- Labels: colour tags such as "new order" or "paid" to sort chats by hand.
- Catalogue: your products with photos and prices, which customers can browse inside WhatsApp.
What the app cannot do is read a message and answer the actual question. The greeting says the same thing to everyone, whatever they asked.
What does WhatsApp allow you to automate?
The rules come from two places: WhatsApp's Terms of Service for the normal apps, and the WhatsApp Business Messaging Policy for the Business Platform. Meta updated the Business Messaging Policy on 23 September 2026.
| Normal app or Business app | WhatsApp Business Platform | |
|---|---|---|
| Automatic replies | Only the built-in greeting and away messages | Allowed for replying to customers, with a clear path to a person |
| Bulk messaging | Not allowed; broadcast lists only reach people who saved your number | Allowed with pre-approved template messages, only to people who opted in |
| Daily sending limit | Not published | Starts at 250 people per 24 hours outside an open chat, then 2,000, 10,000, 100,000, unlimited |
| Messaging strangers | Not allowed | Not allowed without opt-in |
Answering someone who wrote to you is service. Writing first to people who never asked is marketing, and every rule on WhatsApp is stricter about it.
What is the 24-hour window, and why does automation depend on it?
On the Business Platform, every time a customer messages you, a 24-hour customer service window opens. Inside it, you can reply with any message, written by a person or by software. Once the 24 hours pass without a new message from the customer, you can only write to them with a template message: a fixed text Meta approves in advance, for things like an appointment reminder or an order update.
This is why an AI agent works so naturally on WhatsApp: it answers inside the window the customer opened. Follow-ups and reminders sent later must use templates.
What WhatsApp automation gets a number banned?
- Sending the same message to many people who did not ask for it.
- Messaging numbers from a bought or scraped list.
- Continuing to message someone after they asked you to stop.
- Running unofficial bulk-sender tools on the normal app.
- A high number of people blocking or reporting your number.
WhatsApp detects this with a mix of automated systems and user reports. Automation that only replies to people who wrote first does not match any of these patterns.
How do you start automating your WhatsApp step by step?
- Turn on the greeting and away messages in the WhatsApp Business app today. They take five minutes.
- Write quick replies for your five most common questions.
- Count how many messages you get a day and how many arrive when nobody is free to answer.
- If the number is high, choose a tool that answers on its own: either through the Business Platform or a QR-linked AI agent.
- Start with replies only. Add reminders and follow-ups later, using templates on the Business Platform.
When is WhatsApp automation not worth it?
If you receive a handful of messages a day and answer them within minutes, the built-in greeting and quick replies are enough. Automation also makes things worse when your customers mostly need judgement, like custom quotes or sensitive health questions, unless it is limited to collecting details for a person.
And automation never fixes a contact list built without permission. If people did not ask to hear from you, no tool makes messaging them safe.

Frequently asked questions
- Is WhatsApp automation legal?
- Automated replies to customers who contacted you are allowed on the WhatsApp Business Platform, with a clear way to reach a person. Bulk messages to people who did not opt in break WhatsApp's rules, and may also break your country's data protection law.
- Can I automate WhatsApp without the API?
- Partly. The free WhatsApp Business app has greeting messages, away messages and quick replies. Answering each message based on what it says needs either the Business Platform or a tool that links to your number like WhatsApp Web does.
- Is WhatsApp automation free?
- The tools inside the WhatsApp Business app are free. On the Business Platform, Meta charges per message (since 1 October 2026 that includes replies beyond 1,000 per number each month), plus the cost of the software you use.
- Can I send automatic messages to all my contacts?
- Only to people who agreed to receive messages from your business, and on the Business Platform only with approved template messages. Broadcast lists in the app reach only people who saved your number.
