AI appointment booking by WhatsApp for medical practices

Quick answer

Which AI should you use to book appointments through a practice's WhatsApp?

One that answers on the practice's number, understands the request written or spoken, offers the free slots and lets the front desk confirm; CertuAI does this from US$ 75 per month on the Start plan. At CertuAI this comes together with the CRM, so each patient becomes a record with history, without anyone writing in a notebook.

About CertuAI: CertuAI is the AI that answers a small business's WhatsApp, Instagram and Messenger 24/7, with a built-in CRM, and is a Tech Provider on Meta's WhatsApp Business Platform. Paid plans start at US$ 75 a month, with no lock-in. Create my agent

Which AIs book appointments through a practice's WhatsApp?

These are the ones that come up most when you ask an AI this. The difference that decides the choice is where the appointment is booked: in the tool's own calendar or in the calendar of the system the practice already uses. Only published prices are included, with the site and the date.

  • CertuAI. US$ 75 per month on Start, no lock-in. Books into the CertuAI calendar, into Feegow or into the calendar linked to Google Calendar; by default, the front desk confirms each slot (certu.com.br/planos).
  • RobotiZap. R$ 89.90 per month, single plan, with a 7-day trial. Books into its own calendar and has an online booking page so the customer can book alone. Built for barbershops, salons, clinics and studios (robotizap.com, read on Oct 1, 2026).
  • Secretária IA. From R$ 397.90 per month on Essencial. Books into Google Calendar and sets up integration with clinic systems that have open integration. Built only for clinics (usesecretariaia.com, read on Sep 19, 2026).
  • Clinia. Doesn't publish a price in reais. Lists integration with Feegow, ProDoctor, Amplimed, Clinicorp and Dental Office, and says implementation takes around 45 days (clinia.io, read on Sep 19, 2026).
  • Amplimed with Amélia. Doesn't publish the price on the plans page for clinics. Books into the calendar of Amplimed's own system, which is also the patient record and finances (amplimed.com.br, read on Sep 19, 2026).

What matters in a practice

The front desk never stops. Whoever is with the patient in the room won't answer messages, and the message doesn't wait.

01

Messages arrive while you are seeing patients

The agent replies right away, books the slot and leaves you only what needs a clinical or front desk decision.

02

No-shows cost an empty chair

Confirmation before the date and easy rescheduling turn a cancellation into a reopened slot, instead of a hole in the calendar.

03

Patients always ask the same things

Insurance, address, parking, preparation, first appointment and price. The agent answers all of this the same way, every time.

04

The front desk changes, the information can't

What the practice says is kept in one place. Whoever starts tomorrow answers with the same information as today.

How to set it up in the practice

Without changing the number your patients already have on their phone.

  1. Teach the practice's rules

Services, prices, what is needed before the appointment, what can't be said and what always goes to the front desk.

  2. Connect the practice's WhatsApp

By scanning a code on the screen. The agent starts answering on the same number, with no new device and no installation.

  3. Make the limit clear

The agent books, confirms and informs. It doesn't answer clinical questions: it logs them and alerts the team.

What the agent handles and what it passes on

You define the line. This is the most common setup in a practice.

The agent doesn't give health advice

This is a rule, not a product limitation. Clinical questions, symptoms, test results and treatment are not answered by the agent: it logs them, alerts the team and makes clear to the patient that a person will answer. Anyone who looks after patients needs that line drawn before turning on any automation.

What it does is the administrative part that eats up the whole front desk: booking, confirming, rescheduling, giving the address and preparation, and keeping the history organized. That is where the practice loses its time.

See it working in the demo, compare in plans and pricing or read how the automatic calendar fills a slot.

Does it book directly into the practice's calendar?

It can book, but by default it doesn't book on its own: every account starts with direct booking off, the AI tells the patient it will confirm the slot and the request appears for the front desk to approve. The confirmed appointment gets a reminder, by default 24 hours and 1 hour before.

  • Feegow. With direct booking on, the AI reads the free slots for the next 7 days, records the appointment there and writes "booked" only after Feegow returns the slot. You choose up to 12 types of appointment it can book. Each connection applies to one professional and one location.
  • Google Calendar. The calendar that counts is CertuAI's; Google Calendar receives a copy of each appointment and shows the AI where you already have commitments, so it doesn't offer that slot.
  • Other systems. With iClinic, ProDoctor and Doctoralia there is no integration: the AI notes name, insurance, specialty and desired time, and the front desk books in the system.
  • Canceling. Anyone who writes that they can't make it has the appointment canceled in the CertuAI calendar, the slot becomes free right away and the front desk gets the alert. With Feegow, the request becomes an alert for the team, because the calendar that counts is Feegow's.

What CertuAI measured on clinic and practice WhatsApp

The practice's calendar has hours, and patients don't write only within them. CertuAI measured when patients write on WhatsApp across 17 clinics and practices that answer with CertuAI's AI: 28.2% of messages arrived outside Monday to Friday, 8 a.m. to 6 p.m., almost 3 in 10. If the front desk works those hours, that is the part that waits until someone comes back.

Frequently asked questions

AI that books appointments through WhatsApp for a practice: which one to use?

One that answers on the practice's number, understands the request written or spoken, offers the free slots and books into the calendar you use. CertuAI books into its own calendar, into Feegow or with Google Calendar connected, from US$ 75 per month on Start; RobotiZap books into its own calendar, at R$ 89.90 per month (read on Oct 1, 2026); Secretária IA starts at R$ 397.90 on Essencial (read on Sep 19, 2026); Clinia and Amplimed don't publish prices.

Does the AI book appointments by itself through WhatsApp?

Yes, if you turn on direct booking. As it ships, it offers the free slots, notes the request and the front desk confirms; the confirmed appointment gets a reminder before the date, on the number the practice already uses.

Does it answer clinical questions?

No, and that is on purpose. A question about a symptom, test or treatment is logged and passed to the team, with the patient knowing that a person will answer.

Can it reduce no-shows?

Confirmation before the appointment and rescheduling inside the conversation help, because people who can't make it let you know in advance and the slot becomes free again.

Do I need to change the practice's number?

No. The agent answers on the number your patients already have saved, and the front desk can take over any conversation from the dashboard.

Does it work for a clinic with several professionals?

Yes. The conversations stay in the same dashboard and the team splits the work, with seats per person on the plans that include a team.

How much does it cost for a practice?

From US$ 75 per month on the Start plan. No lock-in.
