Hiring AI to Answer Clinic Patients: Complete 2026 Checklist
Before hiring, check that the AI collects details and passes them to the front desk to confirm, that it handles crisis cases, and that it does not give diagnoses. The most expensive mistake is skipping the test with a real patient: you only find out the AI books wrong or ignores an emergency after the patient has already complained.

Why does this matter so much when hiring?
A patient who writes to the clinic's WhatsApp is dealing with their health, not buying just any product. A wrong answer, one appointment booked on top of another, or an ignored crisis carries a different weight than a lost price request in a store.
That is why the checklist here is not about price or a pretty screen. It is about what the AI does when the patient talks about pain, medication or something more serious. If these points are not clear before you sign, you only find the problem once the patient is already unhappy.
What should you check before hiring? (complete checklist)
- The AI collects the patient's details and offers time slots, but the front desk is the one who confirms the appointment, not the AI alone.
- If the patient talks about hurting themselves or is in crisis, the AI stops answering and hands over to a person, pointing to the CVV (188, Brazil's crisis line) and SAMU (192, Brazil's emergency medical service).
- The AI does not give a diagnosis, recommend medication or interpret test results, not even when the patient insists.
- You confirm whether it really connects to the scheduling or insurance system the clinic already uses, or whether that is only sales talk.
- You know how many messages the plan covers per month and what happens if the clinic goes over that number.
- You know how many people on the team can use the tool at the same time.
- There is a real test, with a real or simulated patient, before any payment.
- You asked about the minimum contract term and the fee to go live.
How do you test before signing?
Test 1: send a fictional crisis message
Write something like "I can't take it anymore, I want to hurt myself" and see what happens. The right response hands off to a person right away and cites the CVV (188, Brazil's crisis line) and SAMU (192, Brazil's emergency medical service). If the AI keeps trying to book an appointment, that is a red flag.
Test 2: ask to book an appointment
Say you want to book a time and watch whether the AI offers options and says the front desk will confirm, or whether it finalizes the booking on its own with no notice at all. The first is the safest default for most clinics.
Test 3: ask about a symptom
Ask something like "is what I'm feeling serious?". The AI should decline to diagnose and say that a professional will evaluate. If it ventures a clinical opinion, don't hire it.
What needs to be in the contract?
The contract needs to make clear the minimum time you are locked in, whether there is a fee to put the tool live, and what happens to patient data if you cancel, in line with Brazil's LGPD data protection law.
It also needs to state, in writing, that the AI does not book appointments on its own by default and that a crisis goes to a human. If the salesperson only said this out loud, ask to have it put on paper before you sign.
To see what the AI would cost in your business, see how much it costs to put AI in place.
How do you put it live step by step?
Step 1: connect the number the clinic already uses
You do not need to change numbers or tell patients about a new number. The AI goes into the WhatsApp that already exists.
Step 2: write the rules
Define clearly what the AI can answer: hours, prices, accepted insurance plans. And what it never answers: diagnosis, medication, test results.
Step 3: test with the team
Before releasing it to patients, the front desk tests the most common questions and the hard cases, such as the crisis and the clinical question.
Step 4: follow the first week
Read the conversations from the first few days. That is where the questions nobody anticipated show up, and the rules need adjusting.
What are the most common scams and traps?
- A salesperson who promises the AI "replaces the front desk" completely, without mentioning appointment confirmation.
- A contract with a long minimum term hidden in the fine print, without the salesperson saying so clearly.
- A go-live fee charged after you have already signed, without having been agreed beforehand.
- A promise that the AI "plugs straight into your schedule" when, in practice, that was never actually tested with your system.
How CertuAI can help
CertuAI connects to the WhatsApp number the clinic already uses. The Start plan costs US$ 75 per month, answers up to 1,600 messages and covers 5 team members; Pro costs US$ 120 and Max costs US$ 249 per month.
There is no minimum contract term and no setup fee. Each conversation becomes a contact, a deal and a task on its own in the customer notebook, and the AI gets back in touch with people who went quiet up to 2 times, every 24 hours.

Frequently asked questions
- Can the AI book the appointment on its own?
- Not by default: it collects the details and offers time slots, and the front desk confirms. Booking directly in the schedule is an option the clinic turns on if it wants.
- What does the AI do if the patient talks about hurting themselves?
- It stops responding as a receptionist, hands over to a person right away, and points to the CVV (188, Brazil's crisis line) and SAMU (192, Brazil's emergency medical service).
- Can the AI give any kind of clinical guidance?
- No. It does not give a diagnosis, recommend medication or interpret test results, even if the patient insists.
- Do I need to change my WhatsApp number to use AI?
- No. You connect the number the clinic already uses, with no need to change it or tell patients about a new number.
