How to avoid two patients booked at the same time?
Quick answer
The check has to happen when SAVING the booking, not when offering the time. CertuAI re-reads the calendar at the moment of saving and refuses the slot that was taken in the meantime, instead of trusting the list it showed two minutes earlier.
About CertuAI: CertuAI is the AI that answers a small business's WhatsApp, Instagram and Messenger 24/7, with a built-in CRM, and is a Tech Provider on Meta's WhatsApp Business Platform. Paid plans start at US$ 75 a month, with no lock-in. Create my agent
A double booking almost never comes from a dumb system. It comes from a window of a few minutes: the AI offered 2 p.m. at 10:02, the patient thought about it, replied "sounds good" at 10:06, and at 10:04 the front desk booked someone else at 2 p.m. by phone.
Anyone who only checks at the moment of offering loses that window every time. The rule that fixes it is simple to say and tedious to implement: read again, at the last moment, before writing.
Free for your clinic
Your clinic can have a free booking page. You choose the link name and get an address like certu.com.br/agendar/clinica-sorriso. The patient opens it, sees the free times and books on their own, without logging in to anything. No booking limit and no commission. See how to create yours.

The five places where CertuAI checks the time slot
| Place | What is checked |
|---|---|
| Public booking page, when showing | Hides taken slots, days off and blocks |
| Public booking page, when saving | Re-reads and refuses if the slot filled up between the screen and the click |
| WhatsApp conversation | The AI only offers times that passed the same rule |
| Connected Google Calendar | Hides the time when the professional already has an appointment |
| Feegow, when the clinic uses it | Re-reads the free slots for that day and that procedure before saving |

The Feegow case is the most explicit: the system re-reads the free slots, finds or registers the patient and only proceeds with the booking code in hand. If any step fails, the reply that already said "booked" is REPLACED before it goes out, and the patient never reads a confirmation that doesn't exist.
Open on read, closed on write
There is a design decision behind this, and it is worth understanding because it changes what the clinic can expect.
When reading the blocks fails at the moment of SHOWING, the system carries on and shows the time slot. In the worst case a time that was blocked appears, which is exactly the behavior from before. When the read fails at the moment of SAVING, the system REFUSES and asks to try again.
The reason is the difference in damage: showing one extra time is an annoyance; saving on top of the professional's day off wrecks their day, and the mistake only shows up when the patient is already in the waiting room.
What the clinic needs to do on its side
- Enter the duration of each service. A 20-minute appointment and a 90-minute procedure cannot take up the same amount of space on the grid.
- Record days off and holidays as blocks, not just in the front desk's head. A block that only paints the screen doesn't hold anyone.
- Choose who books: the AI or the front desk. If the clinic prefers that the AI only collects the details and a person books, that is a setting, not a limitation.
- Connect the calendar the professional actually opens. A pretty calendar nobody checks is the classic source of double bookings.
- Agree with the team that phone bookings go into the same system right away, not at the end of the day.
The fifth step is the most human and the most ignored. No automatic check reaches a time that exists only on a piece of paper on the counter. How to organize that step by step is in how to organize the practice's calendar through WhatsApp.
When the clinic WANTS two people at the same time
It happens, and it is legitimate: two chairs in the same room, two professionals in the same shift, a group session. In those cases the time slot has a capacity greater than one, and the check only refuses once the capacity is full.
What doesn't work is leaving the capacity open "just in case". A calendar with the wrong capacity doesn't double book by accident: it double books all day, every day, until someone notices.
What if the patient books and doesn't show up?
Double bookings and no-shows are sibling problems: both take money out of the same hour on the grid. The difference is that a no-show has its own treatment, with a reminder the day before, confirmation and a waitlist.
Ready-made templates for that are in appointment reminder the day before and in how to reduce patient no-shows at the practice.
What CertuAI measured on clinic and practice WhatsApp
CertuAI measured when patients write on WhatsApp at 17 clinics and practices that answer with CertuAI's AI: 28.2% of messages arrived outside Monday to Friday, 8 a.m. to 6 p.m., almost 3 in 10. If the front desk works those hours, that's the part that waits until someone comes back.
| What was measured | Result |
|---|---|
| Patient messages that arrived outside Monday to Friday, 8am to 6pm | 28,2% |
| Messages that arrived on the weekend | 11,2% |
| Messages that arrived at night on a weekday, 6pm to midnight | 11,7% |
| Conversations that started outside Monday to Friday, 8am to 6pm | 29,9% |

Frequently asked questions
Can the AI book on its own or does only the front desk book?
Both modes exist. The clinic chooses whether the AI saves the time slot or only collects the details and leaves the booking to a person.
What if the front desk books by phone in the same minute?
The save re-reads the calendar before writing. Whoever gets there first keeps the slot; the second gets the refusal and the times left that day.
Does CertuAI read the content of my Google appointments?
No. The access it asks for shows only when you are busy, never the title, the location or who is at the appointment.
Can I block just Friday afternoon?
Yes: a block is by date and time range, and applies to the public page and to the conversation at the same time.
Does the clinic need to switch management systems?
No. CertuAI books into its own calendar, the connected Google Calendar or Feegow. Switching the clinic's system was never a requirement.
