Appointment cancellation message: ready-made templates

Quick answer

To cancel an appointment politely, give notice as soon as you know, say which appointment it is, with the day and time, and that you will not be able to attend, without needing to explain the reason. On the clinic's side, a good appointment cancellation message does the same and also offers two new dates for the patient to choose from, and below are 23 templates to copy: when the clinic cancels, when the patient cancels, when the slot is released for lack of confirmation, the offer of a new date and the message after a no-show, in the tone of each specialty.

Replace what is in brackets with your clinic's details. No template includes an invented deadline or fee: wherever a number goes, put the number your clinic decided on and told the patient beforehand.

If you are a patient and just want to cancel without awkwardness, the ready-made texts are in the section how to cancel an appointment politely, further down.

The three-line rule

Almost every message on this page follows the same order: confirm, reassure and reopen. With that order, the cancellation stops being the end of the conversation and becomes the start of the next appointment.

  • Confirm: state the day and time of the slot that was dropped. A patient with two appointments needs to know which one was canceled.
  • Reassure: one short sentence. A patient who cancels owes no explanation, and a patient who was canceled on deserves an apology, just one.
  • Reopen: two concrete, numbered dates. “Let me know when you can” throws the work back on the patient, and they disappear.

When the clinic cancels: the doctor is out or there is an emergency

Here the clinic is the one breaking the agreement, so the tone changes: give notice as soon as you know, own the inconvenience in one sentence and offer the new date with priority. Do not share the professional's personal reason. “Something came up” or “emergency” is enough.

1. Doctor out, with days off

The clinic knew about the absence in advance: a trip, a conference, leave.

Good morning, [name]. We need to cancel your appointment on [day of the week], [date], at [time], because [professional] will not be seeing patients that day.

Sorry for the inconvenience. I set aside two slots with priority for you: 1) [option 1] or 2) [option 2].

Reply 1 or 2 and I will hold it for you.

2. Professional's emergency on the same day

The doctor had something come up and today's schedule fell through.

[name], I need to cancel your appointment today, at [time]. [professional] had an emergency and will not be able to see patients.

I know this disrupts your day, and I apologize.

I have [option 1] and [option 2] with priority. If neither works, tell me the best time of day and I will look for another.

3. Problem at the practice

Power or water outage, broken equipment, construction: the professional is fine, the location is not.

[name], a problem at the practice ([what happened]) prevents us from seeing patients on [date], at [time], and your appointment has been canceled.

[If there was an advance payment: what happens to it].

Can I move you to [option 1] or [option 2]?

4. Health insurance patient

The appointment was through insurance and the next open date is far away.

[name], we need to cancel your appointment through [insurance plan name] on [date], at [time], because [professional] will not be seeing patients that day.

The next slot through insurance with [professional] is [date]. Do you want me to reserve it?

If you need to be seen sooner, your insurance plan's call center can point you to another professional in the network.

For the day when the entire schedule needs to be notified, with the order of who to contact first, see professional absence and rescheduling. What the health insurer must guarantee in that case is in the rules section, further down.

Free for your clinic

Your clinic can have a free booking page. You choose the link name and get an address like certu.com.br/agendar/clinica-sorriso. The patient opens it, sees the free times and books on their own, without logging in to anything. No booking limit and no commission. See how to create yours.

When the patient cancels: the clinic's reply

A patient who gives notice is helping the schedule: they gave back a slot that can still be filled. The reply needs to acknowledge that, and not sound like a scolding.

5. Notice given in advance

The default: the patient gave notice within the clinic's deadline.

I'm glad you let us know, [name]! Your appointment on [date], at [time], is canceled.

Want to reschedule? I have 1) [option 1] or 2) [option 2].

Open in WhatsApp

6. Last-minute notice, no fee

Outside the deadline, but the clinic chose not to charge.

That's fine, [name], I canceled it here.

One request for next time: if you can, give us [X] hours' notice, because that way the slot can still go to another patient.

Want to lock in the new date now? I have [option 1].

Open in WhatsApp

7. Notice outside the deadline, with an agreed fee

Only when the fee was announced at booking and the patient agreed. See the rules section.

Canceled, [name].

As we agreed at booking, notice of less than [X] hours carries a fee of [amount from the clinic's rule], which will be charged [how].

To reschedule, message me here and I will send the available times.

8. Cancellation for health reasons

The patient says they got sick.

Get well soon, [name]! I canceled your appointment on [date], don't worry about it.

When you are feeling better, message me and we will find a time.

If you get worse, do not wait for the appointment: seek in-person care.

9. Third cancellation in a row

The same patient has already canceled twice.

Canceled, [name]. I noticed that [day or time of day] has been hard for you.

Want to try another time? I have openings [early in the morning, at lunchtime, at the end of the day, on Saturdays].

Tell me what fits your routine best and I will look for it.

10. Patient who does not want to reschedule now

The person said they will think about it later.

Sounds good, [name], canceled with no commitment.

Whenever you want to come back, just write here.

How to cancel an appointment politely: texts for the patient

Politeness, here, means giving notice early and being clear. You do not need to give the reason or apologize three times: say which appointment, say you will not be coming and, if you like, ask for another date. The sooner the clinic knows, the better the chance that another patient uses the slot.

  • Give notice as soon as you know. Do not wait for the day of the appointment: the slot is only useful to someone else if the clinic knows in time.
  • Say which appointment it is. Your name, the day, the time and the professional. The front desk finds the slot without having to ask you back.
  • The reason is optional. “Something came up” is enough. You do not need to say what happened.
  • One apology only, and only if it is last minute. Giving notice in advance does not call for an apology, only for the information.
  • Ask about the rule if it is close to the appointment time. Some clinics agree on a late-notice fee at booking. Asking avoids a surprise.

11. Cancel and ask for a new date right away

You still want the appointment, just not on that day.

Good morning! This is [your name], I have an appointment on [day of the week], [date], at [time], with [professional].

I will not be able to make it and would like to cancel. Do you have any openings [the following week, in the morning]?

Thank you in advance.

12. Cancel at the last minute

There are only a few hours left and something came up.

Good afternoon! I'm [your name], with today's appointment at [time].

Something came up and I will not be able to make it. Sorry to give notice so close to the time.

If there is a cancellation policy, could you explain it to me? And when you have an open slot, let me know.

13. Cancel without rescheduling

You do not want another date right now.

Good afternoon! This is [your name], I have an appointment on [date], at [time].

I need to cancel and, for now, I will not reschedule. When I can, I will get in touch again.

Thank you for your attention.

14. Cancel the appointment of a child or relative

You booked for someone else.

Good morning! I'm [your name], the guardian of [patient name], who has an appointment on [date], at [time], with [professional].

We will not be able to come and I need to cancel. Could you send me the next available times?

Open in WhatsApp

Send it the same way you booked, whether that is the clinic's WhatsApp, the app or the phone, and keep the reply. It is your proof that you gave notice, with day and time.

Cancellation for lack of confirmation

When the patient does not reply to the confirmation, the clinic is caught between two risks: holding a slot that will sit empty or releasing the slot of someone who was going to show up. What solves it is a rule written beforehand, with three answers:

  1. Until when the patient can confirm. For example, until [time] the day before.
  2. How many attempts the clinic makes before releasing, and through which channel, for example a message and then a call.
  3. Who gets the released slot: waitlist, fit-in or someone who wants to move up.

15. Last notice before releasing

The deadline to confirm is running out and the patient has not replied.

[name], I have not received your confirmation yet for [day of the week], [date], at [time].

Can you reply by [cutoff time]? With no reply, I will need to release the slot for someone who is waiting.

Just reply YES to keep it.

Open in WhatsApp

16. Slot released for lack of confirmation

The deadline passed with no reply, after the agreed attempts.

[name], since we did not receive your confirmation by [cutoff time], the slot on [date], at [time], was released to another patient.

If you still want the appointment, I have 1) [option 1] or 2) [option 2]. Just reply with the number.

Open in WhatsApp

17. Patient replies after the cutoff

The reply arrived when the slot already belonged to someone else.

I'm sorry, [name], your message arrived after the deadline and the slot has already been taken.

I do not want to leave you without an appointment: I can do [option 1], or put you on the waitlist for [time of day]. Which do you prefer?

Open in WhatsApp

The tone of these three is a heads-up, never a punishment. A patient who forgot to reply must not feel thrown out: the door opens again in the same message that closes the slot. The texts that ask for the confirmation, before all this, are in the clinic message templates.

Reschedule offer: a new date with a one-tap reply

18. Two numbered dates

After any cancellation, when the person wants to reschedule.

To reschedule, [name], I have these times with [professional]:

1) [day of the week], [date], at [time]. 2) [day of the week], [date], at [time].

Reply 1 or 2. If neither works, tell me which time of day is better.

Open in WhatsApp

19. Invitation to move up

A cancellation opened a slot before another patient's appointment.

[name], a slot opened up before yours: [date], at [time], with [professional].

Want to move up? If so, I will swap it, and your slot on [date] goes to someone else.

20. Joining the waitlist

The patient is only available in a time of day that is full.

I have no opening for [time of day] right now, [name], but I can put you on the waitlist.

If someone cancels, you will be contacted here. Want me to add you?

When the patient only wants to change the day, without canceling, the texts are in appointment rescheduling message. To contact people on the waitlist, see waitlist message.

After a no-show: the patient did not come and did not call

The message after a no-show has one goal: bringing the patient back. A scolding brings nobody back. Write the same day or the next, assume something happened and offer a new date.

21. First no-show

The patient did not show up and sent nothing.

[name], we missed you today at [time]. Did something happen?

If you want to reschedule, I have [option 1] and [option 2].

22. Repeated no-show

It is the same patient's second no-show without notice.

[name], you did not come to the appointment on [date], and it was the second time without notice.

To book again, I will ask you to confirm by [deadline] the day before. That way I can hold the slot.

Want me to look for a date?

23. No-show with an agreed fee

Only if the patient accepted the rule at booking.

The right tone for each specialty

The structure is the same in every clinic. What changes is the care with words, because each specialty has a sensitive point.

In no specialty does a diagnosis, suspicion or test name go in the text. The message may be read by someone else on the same phone.

Fee, notice period and health insurance: what the rules say

Notice period. None of the rules cited on this page sets how many hours ahead the patient must give notice: the clinic defines the deadline. And it only holds if the patient knows about it before booking. The Consumer Protection Code (Law 8.078/1990, article 46) says a contract does not bind a consumer who did not have the chance to learn its terms beforehand. That is why the rule goes in the booking confirmation, and not in the cancellation message.

No-show fee, in the case of doctors. The Code of Medical Ethics (Resolution No. 2.217/2018 of the Federal Council of Medicine, article 59) prohibits a doctor from accepting payment for care not provided. Regional councils read this rule in different ways. In 1992, in a query answered by the Regional Council of Medicine of Santa Catarina, the conclusion was that a doctor cannot charge for an appointment that did not take place, whatever the justification. In 2024, the Regional Council of Medicine of Rio Grande do Sul (Opinion 16/2024) held that the appointment is not charged, but the reserved time may be charged when the no-show was not announced with reasonable notice, provided this was agreed with the patient beforehand. The same opinion cites the Rio de Janeiro council (Opinion 12/2019) along the same lines.

In practice: without an agreement made beforehand, do not charge. With an agreement, write the rule at booking, with the deadline and amount, and ask for the patient's “agreed.” Dentists, psychologists, physical therapists and other professions follow their own council: check your council's rule before charging.

Health insurance patient. When the clinic cancels, the patient does not lose the right to be seen within the deadline. According to the National Supplementary Health Agency (ANS, Normative Resolution 566/2022), the insurer has up to 7 business days to guarantee a basic appointment (pediatrics, general medicine, general surgery, gynecology and obstetrics), 14 business days for the other specialties, 7 for dentists and 10 for psychologists. This deadline applies to any professional in the insurer's network, and not to the same doctor. That is why template 4 reminds the patient that the insurer's call center can point to another professional.

What to do with the slot that opened up

  1. Release the slot in the calendar that same minute, so it appears in offers again.
  2. Look at the waitlist for that time of day and contact the first person.
  3. If the list is empty, offer the slot to someone who booked for later and could move up.
  4. If nobody takes it within two hours, offer it to whoever asked to be fit in that week.
  5. Record the reason for the cancellation in the patient's record, if the patient shared it.

What the AI does and what stays with the front desk

In CertuAI, when the patient writes on WhatsApp that they cannot make it, the AI checks the calendar for their slot, cancels it and, in the same message, asks whether they want to book another day. This applies to the CertuAI calendar. In a clinic that uses Feegow, canceling and rescheduling stay with the front desk, because the real calendar lives there.

The new date follows the clinic's rule. By default, the AI does not guarantee any slot on its own: it tells the patient it will confirm, and the front desk approves it in the calendar. Booking on its own is an option the clinic turns on, and it is only worth it when the real calendar is CertuAI's.

Fee, deposit and notice period: the AI only repeats what is written in the Brain, which is the clinic's knowledge base. What is not there, it does not guess, and it says it will confirm with the team. CertuAI also does not release the slot of someone who did not confirm on its own: cutting is the front desk's decision.

And one limit never changes: if the patient describes a sign of an emergency, the AI stops talking about the calendar and immediately sends: “This may be urgent. Call SAMU, Brazil's emergency medical service, at 192 now or go to the nearest emergency room.”

Frequently asked questions

How do I cancel an appointment politely?

Give notice as soon as you know, state the day and time of the appointment and that you will not be able to go. You do not need to explain the reason. If you want another date, ask for it in the same message.

Do I need to explain the reason for canceling the appointment?

No. Just say which appointment it is and that you will not be able to go. If you want to give a reason, "something came up" is enough.

Can I cancel the appointment on WhatsApp?

Yes, if the clinic serves patients there. Cancel the same way you booked and keep the reply: the message has the day and time and serves as proof that you gave notice.

How do I cancel an appointment at the last minute without seeming rude?

Give notice as soon as you know, apologize once for the late notice and ask whether there is a cancellation policy. Template 12 on this page is exactly that message.

Can I cancel the appointment of someone who did not confirm?

The fairest way is to announce that rule when booking, try to reach the patient first and send one last notice with a deadline. If you release the slot, offer a new date in the same message.

How many hours ahead does the patient need to give notice?

None of the rules cited on this page sets that number. Each clinic defines its own deadline, and it only holds if the patient knows about it before booking.

Can the clinic charge a fee to patients who do not show up?

For doctors, the Code of Ethics prohibits charging for care not provided. Some regional councils accept charging for the reserved time, if agreed with the patient beforehand, and others do not. Without a prior agreement, do not charge.

Should I ask the reason for the cancellation?

Not as a mandatory question. If the patient shares it, log it. Demanding an explanation pushes people away, and the reason rarely changes what the clinic will do.

Can the CertuAI agent book and cancel appointments on its own?

Cancel, yes, in the CertuAI calendar, when the patient asks. The new date, by default, no: it says it will confirm and the front desk approves. Booking on its own is an option the clinic turns on.

Does CertuAI contact a patient on its own who canceled and went quiet?

CertuAI has no automatic call triggered when a treatment interval runs out. What exists is the waitlist and your team's work from the inbox.

Want the AI to do this on your WhatsApp?

CertuAI is AI automation software for small and medium-sized Brazilian businesses. The AI answers on the clinic's WhatsApp, books on the calendar and records each conversation. The Start plan costs US$ 75 per month, no lock-in contract.
